Ideal Profiles now support both Gem people and ATS candidates — so you can seed a search with the exact profiles that performed best and get smarter recommendations faster. Try it out the next time you kick off a search with Gem’s AI Sourcing Agent.
Find active ATS candidates faster across Gem
Global Search now surfaces active ATS candidates first, followed by hired, rejected, then prospects — so the people who matter most rise to the top. No setup needed — check it out by searching for a candidate in Gem’s search bar.
Transfer candidates between jobs
Move a candidate's application to a better-fit role without losing key context. Scorecards, EEOC data, source, attachments, and more all transfer with the candidate. To try it: Open the candidate's application → right sidebar (below resume/attachments) → Transfer candidate. Learn more in our Help Center.
Pay Transparency Templates: Create multiple compensation sections for job posts with tokens for min/max/frequency. Manage it all in the new Compensation section under Admin Settings > ATS > Job boards & posts > Pay transparency. Learn more about compensation fields in our Help Center.
Everyday productivity enhancements: Easily search for Gem ATS settings in Admin Settings, create referrals from the homepage or directly from a job, edit job posts with a side-by-side preview, and assign the source when you upload candidates.
Gem Scheduling
Schedule hiring meetings faster: We’ve made it easier to schedule interview debriefs and hiring team syncs. Watch the quick demo to see the new flow in action, or read more about scheduling interviews in our Help Center.
Update scheduling blocks with ease: Need to update an interview plan to span multiple days or include a break? Simply update the schedule, and Gem will automatically split the event into accurate time blocks in your calendar — no extra steps needed. Gem Integrations

Docusign enhancements:
- Send offers/e-sign requests from your own Docusign alias. Set it up in Profile Settings > Docusign settings.
- Build offer templates fully in Gem with new Docusign-only tokens for optional attachments, text, checkboxes, and company signer approvals. Learn more about the Docusign Integration.
HiBob HRIS enhancements: Assign values to employee custom fields when you push a candidate into HiBob HRIS. Map it out in Admin Settings > Integrations > HRIS Integrations panel.
November 2025
Gem ATS
Job compensation fields make pay transparency simple and consistent. Admins can now set compensation fields to required or hidden in a new Compensation fields card under Admin Settings > Gem ATS > Jobs — so ranges show up on job posts without the back-and-forth.
Enhanced conditional offer sections allow you to write cleaner, smarter offers. You can now conditionally create offer sections based on text, number, or currency offer fields — e.g., show signing bonus language only when the amount is greater than $0. Get more done faster with these latest productivity enhancements in Gem ATS:
- Automatically CC the hiring team in candidate emails: When creating generic email templates, you can now CC the Recruiter, Coordinator, Sourcer, and/or Hiring Manager on the application. For candidates with multiple applications, we’ll use the roles tied to the application shown in the tab header.
- Long text custom fields: Capture richer context on jobs, offers, openings, and applications.
- Enhancements to job access rules: Build access rules faster with select-all and search for departments/locations.
- Automatic currency settings based on location: When you select a location on a job, opening, or offer, Gem will automatically set the currency. We’ll reference the first location listed if a job or opening has multiple locations, and we’ll never overwrite the currency type if the field already has a numeric value.
- Find candidates on the go: You can now search for any candidate on the mobile site.
- Notes for approvers: Fix typos or add context after you’ve sent an approval request (jobs, openings, offers). Approvers won’t be re-notified, so you can correct it quietly.
AI Sourcing
Save talent insights to PDF: Export pool snapshots (titles, companies, skills + AI overview) and easily share with hiring teams.
CRM & Platform
- Expanded audit logs: See more events across jobs, job boards/posts, offers, SAML, team settings, and approval processes for better compliance and investigations.
- Candidate custom fields in Prospect Search: Search via ATS candidate custom fields inside Gem; live for Greenhouse, Workday, SuccessFactors, and iCIMS teams.
Gem Scheduling
- Search by Job Requisition IDs: Requisition IDs now appear alongside job names in scheduling views like the Scheduling Queue or Job Settings, so you can find and search for jobs faster.

Gem ATS
This month’s updates help you keep processes compliant, flexible, and frustration-free:
- Request approvals for openings: Establish an approval process for new openings based on department and location.
- Request approvals for pay outside compensation band: Route offers for extra review when pay falls outside the compensation band of an opening or job.
- Reject approval requests: Reject an approval request for a job, offer, or opening with one-click, and add a rejection note to restart the process.
- Job levels for openings: Standardize role hierarchy across job postings and headcount plans — simply specify one or more job levels the next time you’re editing or creating an opening.
- Location settings for job access rules: We’ve extended job access rules to include locations, giving Gem Admins flexibility to give users access to all jobs within a location, regardless of department. Head over to Admin Settings > Members to get started.
- Opening-based job flow: Keep jobs and openings in sync. Enable “Require attached opening to open job” by going to Admin Settings > Gem ATS > Openings.
- Customizable user permissions for openings: Manage who can view and edit openings to maintain compliance and data integrity. Head over to Admin Settings > Members > User Roles to get started.
- Pay transparency on job posts: Ensure consistent compliance and pay range visibility. Display compensation ranges on your job posts by going to Admin Settings > Gem ATS > Job boards & posts.
- Referral links: Turn every employee into a referrer. Create and share referral links directly from Gem to drive more referrals. Learn more about referral links.
- Location settings for job access rules: We’ve extended job access rules to include locations, giving Gem Admins flexibility to give users access to all jobs within a location, regardless of department. Head over to Admin Settings > Members to get started.
- Enhanced offer creation and approval process: We’ve made it easier to draft offers, with the flexibility to request approvals when you’re ready. Learn more about offer approvals in Gem ATS.
Gem Sourcing
This month, AI Sourcing got two major upgrades. Check them out the next time you kick off a search.
- Talent Insights: Get an instant snapshot of your talent pool for each search — see top titles, companies, and skills with an AI-powered dashboard that helps you visualize and refine your results.
- Ideal Profiles: Drop in your “north star” candidate(s) and let Gem suggest criteria to help you find your ideal profile.
Gem Integrations
Gem is officially a Workday Innovation Partner! This milestone validates Gem’s deep, bi-directional integration with Workday Recruiting — giving customers faster syncs, unified data, and powerful AI capabilities across sourcing, application review, analytics, and scheduling. - iMocha Integration: Test and evaluate candidates faster with the new iMocha integration. Add an iMocha stage to any interview plan to send assessments, track scores, and view results right in Gem.
- Department and location filters in Talent Compass: Slice and dice your reports by department and location hierarchies for deeper insights. Learn more about Talent Compass.

Make complex hiring workflows simpler with these powerful new capabilities in Gem ATS:
- Conditional offer sections: Replace dozens of separate templates with a dynamic sections that automatically show relevant content based on location, department, job level, or custom offer fields. Learn more about conditional offer sections.
- Take-home assignments: Add assignments to your interview plan or send ad-hoc assignments per candidate with built-in submission tracking and scorecard reviews.
- Enhanced customization: Set reapproval notifications based on custom field updates, customize user permissions for job statuses and openings, and create department access rules for automatic job access.
- Auto-merge for inbound applications: When candidates reapply to jobs, Gem will automatically merge active applications while preserving original data such as previous attachments and referral questions.
- Candidate profiles on mobile: Access candidate profiles, resumes, activity feeds, and applications from your phone with a mobile-optimized experience.
- Docusign integration enhancement: Send additional documents like benefits information alongside offer letters, directly at the offer stage or through offer templates. Learn more about our Docusign integration.
- Gmail integration enhancement: View complete email history and content in candidate activity feeds, including messages sent outside of Gem, with privacy controls for individual emails. Navigate to Settings > General > Additional Settings > Allow my full email previews to turn this on.
- PDF download for offer packets: Export complete signed offer packets, including candidate information and resumes for ATS uploads or record-keeping. Team admins can download an offer packet by going to the Candidate Profile > Application > Offer > Download offer packet.
- Rating scales and hyperlinks in ATS questions: Enhance your application questions, scorecards, and referrals with customizable rating scales and hyperlinks. Head over to Gem > Templates > Jobs & applications > Application questions to get started.
Gem Scheduling
Experience the power of Gem Scheduling being fully integrated with the rest of Gem, and enjoy simplified scheduling workflows:
- Send availability requests and self-scheduling links in just a couple clicks
- Select schedule options with an intuitive Google Calendar-style view
- Fully customize interviewer calendar events
- Stay on top of next steps with detailed scheduling statuses in Talent Pipeline

- Audit logs: All teams now have access to audit logs tracking login attempts, user changes, session times, role assignments, and API key activity for security compliance.
- SCIM user management: Automatically provision and de-provision users directly from your Identity Provider, including Okta, Microsoft Active Directory, and Ping Federate. Available for select Gem Enterprise customers.

Take control of your hiring workflows with powerful new customization options:
- Custom job access levels: Create unlimited access levels tailored to your team's specific roles and needs. Try it out for executives who may want high-level visibility without seeing individual applications. Learn more about Gem ATS permissions.
- Application form templates: Customize templates for your application forms, tailor them to departments and/or locations for quick job post set up, and select only the EEOC settings you need. Head over to Gem > Templates > Jobs & applications to get started.
- Slack approval notifications: Get notified in Slack when an approval request requires your attention. To connect your Slack account, head over to Gem > Profile Settings > Slack Integration.
Gem AI Rediscovery
Our latest benchmarks report revealed 44% of hires in 2024 came from existing CRM and ATS databases. AI Rediscovery is our biggest release yet in AI Sourcing, giving you the ability to kick off a search and instantly find top matches across your channels.
This includes Past Applicants in your ATS (Gem ATS, Greenhouse, Lever, Workday, and more), Prospects in Gem, and Net-new Prospects across our 650M+ profiles. Check it out the next time you set up an AI Sourcing search, or re-run an existing search to find the hidden talent you might be missing in your database.
Gem Platform
AI Company Descriptions in Gem now include funding history — rounds, amounts, and investors — plus direct links to the company's Crunchbase, LinkedIn, and official website. Use this context to evaluate startup candidates faster, understand what stage they joined their companies, who backed their companies, and the growth trajectory they experienced.

Take control of your team setup with expanded permission management. Set custom roles as the default for new users, automatically assigning the right permissions without manual setup. Add granular controls for private note visibility, template editing, scorecard privacy settings, and confidential job access. And teams with SAML enabled can pass custom role attributes through identity providers for seamless user provisioning.
Gem AI Sourcing
We've redesigned the AI Sourcing search experience to be faster and more intuitive. Edit filters and criteria on a single full-screen page, click directly on filter chips to open edit modals, and see how criteria changes affect the sample candidate pool in real-time. Plus, new features to help you do more:
- Customizable criteria: Edit preset AI scoring criteria like years of experience to match your specific requirements
- Keyboard shortcuts: Use keyboard shortcuts and set default Yes/No actions to review candidates faster
- Confidential searches: Keep sensitive executive searches private from your broader team
Gem Platform
Connect with candidates where they are with our new WhatsApp Business integration. You can now add WhatsApp stages to your sequences and send one-off messages directly from candidate profiles. Start conversations using pre-approved message templates, then engage in free-form messaging once candidates respond (24-hour window). Perfect for reaching talent in markets where email response rates are low but WhatsApp engagement is high.

Gem ATS
Stop retyping offer emails every time you send e-signature requests. You can now create reusable email templates for offer letters with full token support, automatically populating candidate names, job titles, and other details. Set up default templates or create custom ones for specific roles or departments, making your offer process consistent and efficient.
Gem AI Sourcing
We've added AI Sourcing shortcuts throughout Gem to make it easier to kick off searches wherever you are in your workflow. You can now launch AI Sourcing directly from empty prospect lists, projects with no candidates, jobs without applicants, and when your existing searches return no results. No more navigating back to the main AI Sourcing page — just click and start sourcing. Check out this guide to get started with AI Sourcing.
Gem CRM
When uploading candidate CSVs to projects, you can now use your monthly Data Refresh credits to instantly enrich profiles with additional candidate information — perfect when you have limited data on prospects. This saves hours of manual research and ensures you have complete candidate profiles right from upload. Watch this 1-minute Loom video to get started.
Gem Platform
When reviewing candidate profiles across Gem, you'll now see AI-powered company summaries that include funding stage tags showing when the candidate joined their companies, like "Joined at Series C" or "Joined at Seed." Get broader context about each company, including funding stage, product mix, business model, and company maturity, with detailed funding stages and investor data coming soon. AI-powered App Review
Turn on email notifications to stay on top of new applicants that meet your criteria. As you set up your qualifications, just add your ideal match score to receive daily digests of your best candidates right in your inbox.
Gem Scheduling
Panel interviews just got easier with our new multi-interviewer self-scheduling feature. Try it out by selecting the new "Add Interview" option when you're creating a self-scheduling link.
- Create self-scheduling links for multi-person interviews: Simply share a link with candidates that automatically accounts for shared availability across all interviewers.
- Coordination made easy: Candidates will only see the time slots when all interviewers are free, and everyone's calendars will automatically update when booked.

We’ve simplified our search experience in AI Sourcing and added powerful new filters to help you find the right candidates in way less time. Here’s what’s new:
- Preview qualified profiles instantly: As you edit your filters, Gem AI will now dynamically show you a set of profiles that match your criteria. Use this to validate and refine your search criteria in real-time.
- Filter by Company Funding and Investors (Beta): Search for talent based on their work experience at companies with specific investors (e.g., Sapphire Ventures, Bain) and funding stages (e.g. Series A, Series B). Check it out in the Companies filter.
- Ask AI for location filters: Use natural language to describe the locations you want to search within and get suggested filters from Gem AI. Try prompts like "cities within 50 miles of Manhattan" or "cities with zip codes in the Greater Boston area," with the new Ask AI feature in our Location filter.
