The Gem Chrome extension works seamlessly within Gmail, enabling you to manage candidate interactions and streamline your workflow without leaving your inbox. Getting started
Make sure split pane mode is disabled in Gmail before using the Gem extension. To do so, go to your settings (select the ⚙ icon then See all settings) then under the Inbox tab scroll to Reading pane, and uncheck the Enable reading pane option.

Here’s a list of actions you can take from the Gem Extension in Gmail:
- Marking candidate interest & uploading them to Gem ATS: When a prospect responds positively, you can mark them as Interested directly from Gmail. This simple action improves your response tracking and ensures that Gem captures positive replies in your analytics. From there, you can upload the candidate to your ATS and set their stage, saving time and reducing manual data entry.
- Setting follow-up reminders: If a candidate is interested but the timing isn’t right — for example, their shares don’t vest for another six months — mark them as Follow up later and set a reminder with a due date. When the date arrives, Gem will email you a notification with a link to the candidate’s Gem profile and your notes for context, making it easy to re-engage.
- Replying with Canned Responses: Speed up your replies using canned responses saved in Gem. With just one click, you can insert a pre-written response directly into your email. These templates support personalization tokens, so you can quickly tailor messages while maintaining a human touch. If you use Calendly, include your scheduling link in the template for even faster coordination.
- Adding candidates to projects or Nurture sequences: Build and maintain talent pipelines by adding candidates to Gem Projects directly from Gmail. If you know you want to engage with a candidate later, add them to a Nurture sequence and schedule the outreach for several months down the line. If the candidate responds before the scheduled sequence, Gem will automatically stop the nurture emails to prevent redundant communication.
Example workflow
You receive a reply from Alison, a prospective candidate:
- If Alison’s response is positive: Mark her as Interested, upload her to Gem ATS, and use a canned response to reply (e.g., “I’m so glad you’re interested, Alison! I’m excited to connect. Please feel free to book a 30-minute chat this week using my Calendly link: [Insert link]. Looking forward to our conversation!”).
- If Alison is interested but not ready to make a move: Mark her as Follow up later, set a reminder for six months from now, and close the conversation with a quick message using a canned response (e.g., “Thanks for your response, Alison! I understand timing is important. I’ll follow up in a few months, but feel free to reach out if anything changes before that!”).
- When the follow-up date arrives: Gem will notify you with a link to Alison’s profile and your notes, so you can re-engage with full context.
