Overview
Gem Sequences allow you to automate your outreach by sending scheduled, consistent, timely messages to prospective candidates with no need to manually track each follow-up.
Once a Sequence starts, Gem moves through the Sequence based on the schedule you set. Sequences are designed to stop when a candidate responds, and they can be paused whenever you need.
You can personalize the messages in your Sequence using custom tokens. For more information, see Custom tokens overview.
Requirements
Before you can create and send a Sequence, make sure you have:
- Access to Gem with permission to create Sequences.
- An email address connected for sending (for email-based Sequences).
- Any other outreach channels you plan to use (e.g., SMS) set up in your Gem account, if applicable.
Sequence stages
Sequences are divided into stages. Each contains a templated message and a scheduled delivery time. Each Sequence must have at least one stage, though we recommend adding more.
You can add as many stages as you’d like to a Sequence. Each stage is a customizable template. Here’s an example of a 2-stage sequence:
How Sequences send messages
Your Sequence workflow will dynamically adapt to the prospect’s behavior.
You can select one of the following outreach methods when setting up your Sequence.
- Automatic: Messages are sent automatically by Gem (e.g., emails and texts).
- Manual: Gem prompts you to take an action (e.g., sending an InMail, making a phone call, or sending a LinkedIn connection request).
Here’s some key information about how your Sequence schedule will change in response to prospect behavior.
- The sequence will automatically stop if any of these three conditions are met:
- A prospect responds.
- The Sequence has run out of stages and is finished.
- You manually mark a response in Gem.
- Gem sends emails automatically or prompts you to take other actions to connect with prospective candidates at set intervals.
- If a prospect replies, the Sequence stops immediately to prevent over-messaging.
- If a prospect doesn’t reply, the next message in the Sequence is sent at the scheduled time (e.g., 5 days later).
- If the prospect never replies, the Sequence runs its course until all messages have been sent.
- Users have the option to pause an active Sequence at any time.
Your Sequences dashboard
When you go to the Sequences page in Gem, you will see the following sections.
- Your Sequences: A list of all Sequences that you’ve created. To view Sequences that you’ve archived, click “Show archived sequences…”
- Shared Sequences: A list of Sequences created by other team members who have either given you direct access or have set their Sequence to the Shared access setting. (More on how sharing in Gem works Sharing and collaborating with Gem.)
- All Sequences (Admins only): A list of all Sequences created by all team members, even Confidential ones.
