Overview
Custom tokens are variables you can insert into messages to personalize outreach to candidates. You can use them in Sequence stages, Campaigns, and Application Review. Gem pulls token values from the Candidate Info field and from the Your custom tokens field on a candidate profile.
For example, rather than saying “Hi there!” at the beginning of every message, you could say “Hi {{first_name}}!” instead. As long as the candidate has their first name field filled out within Gem, the message they will receive will be personalized with their name (ex. “Hi Bob!”).
Requirements
- Your team must use Gem Sourcing.
- To use tokens in Sequences, you must have access to create and edit Sequences in Gem.
- To use tokens in Campaigns, your team must have access to Campaigns.
- To use tokens in Application Review, you must have access to Team Settings in Gem.
How it works
Sequences
All of your available tokens for Sequences overview can be found in your Sequence Stage editing window, right on top of the Subject line field.
Tokens can be inserted anywhere into the Subject or Body of your Sequence Stages. Simply use your mouse cursor to select where you would like the token to be placed, then click on the token to insert it.
For example, rather than opening your email with a generic “Hi,” you might say: “Hi, {{first_name}}, happy {{day_of_week}}!” As long as the candidate’s First Name field is filled out within Gem, the message they’ll receive will be personalized (“Hi Nikki, happy Tuesday!”).
After you insert a token, it appears in the Subject or Body where your cursor is placed.
Campaigns
For teams with access to our Campaigns: Create branded emails module, all of your available tokens can be found in your Campaign editing window. Select any Header or Text tool, then select the “custom tokens” dropdown.
Application Review
All of your available tokens for Application Review can be found in the customization tab of Team Settings.
Tokens can be inserted anywhere into the Subject or Body of your message. Simply use your mouse cursor to select where you would like the token to be placed, then click on the token to insert it. We recommend referencing the job and your company name in each message so the message is clear to the recipient.

Things to note:
- The Reason and Extra tokens are not shared across team members. This means what you write into these fields within the Gem sidebar will not be visible or usable by any your colleagues. These fields are unique to your own Gem account and can only be used by you.
- If you decide to use a particular token and the candidate does not have that information field filled out on their Gem profile, they will see a blank space in their message. For example, if you said, “I noticed that you’ve worked at {{company}} in the past.” and their Company field is empty, the candidate will receive: “I noticed that you’ve worked at in the past.” (Note the blank space between “at” and “in” since Gem didn’t have a Company name to insert.) To prevent this and account for scenarios where a profile field is blank, we suggest using Token Fallbacks. More information on how to set this up Blank candidate token fallbacks.
- When editing/previewing, your tokens will populate with the candidate’s information or your custom field tokens, with exception to the Day of Week token, where the day will be inserted during the message sending process. More information on this Day of week token not populating.
Previewing Your Message
