Gem ATS: Create and manage Locations

Locations allow you to specify the geographical area of a job, including the city, country, state or region — and even different office names to distinguish locations within the same city. Each job you create in Gem ATS will be associated with one or more locations, which will be displayed on your Job board.

Overview

Locations define the geographic areas where you plan to hire for a job, such as a city, state or region, or country. You can also create multiple office names within the same city to help your team distinguish between offices.

When you create a job, opening, or offer in Gem ATS, you assign one or more locations to it, including remote locations.

Note: If your company is fully remote, you must create a location in the state where your company is incorporated and check the Remote box. A state or region must be assigned to all locations, even if they’re fully remote.

Requirements

  • Your team must use Gem ATS. For more information, see Getting started: Gem ATS overview and configuration.
  • You must be an Admin in Gem to manage location settings. For more information, see Gem access types and permissions.

Add a location

You should add locations for all places where you expect to open jobs and hire candidates, such as your office locations and remote regions. This allows your team to select these options in the Location dropdown while setting up new jobs, openings, and offers.

To add a new location:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Gem ATS header.
  3. Select the Jobs tab.
  4. Select the Locations header.
  5. Select the + Add location button.
  6. Enter a city name in the City field. Gem will auto-populate
  7. After you enter a city name, Gem typically autofills the appropriate country and region. If needed, you can manually select a country and optionally a region in the Country and Region fields.
  8. Optionally select the Remote checkbox to indicate that this location is remote and not in-office or hybrid, such as “Remote North America”.
  9. Enter the location name in the Display name field. This is what your team members will see listed in the Location dropdown everywhere it appears in Gem.
  10. Optionally select a Parent location from the dropdown. These allow you to group together related locations under one umbrella, such as grouping San Diego under California.
  11. Select the Save button.

The page updates with your new location displayed. Your team can now select this location when creating jobs, offers, and openings.

Edit a location

To edit an existing location:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Gem ATS header.
  3. Select the Jobs tab.
  4. Select the Locations header.
  5. Select the pencil icon to the right of the location you’d like to edit.

  1. In the Edit location pop-up, select the fields displayed to add or update them.
  2. When you’re done editing the location, select the Save button.

The page updates with your updated location.

Archive a location

Archiving an existing location removes it from the list of locations in your Admin settings and updates the status to Archived.

Archived locations can’t be selected when creating a job, opening, or offer. You can unarchive an archived location at any time.

To archive an existing location:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Gem ATS header.
  3. Select the Jobs tab.
  4. Select the Locations header.
  5. Select the Actions menu (three dots) next to the name of the location you want to archive, then select the Archive button.

The page updates with the archived location removed.

To review the list of archived locations, return to the Locations page and select the Show archived locations button.

Restore an archived location

To restore an archived location:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Gem ATS header.
  3. Select the Jobs tab.
  4. Select the Locations header.
  5. Select the Show archived locations button.
  6. Select the Actions menu (three dots) next to the name of the location you want to restore, then select the Unarchive button.

  1. In the Unarchive location pop-up, select the Unarchive button.

The page updates with the location status updated to active. Your team can now select this location when creating jobs, openings, and offers.

To review the list of active locations, return to the Locations page and select the Hide archived locations button.
