Overview
Departments help you organize roles by functional area in Gem ATS. When you create a job, you assign it to a department, which helps keep your jobs organized and supports department-level reporting.
This article explains how to create, edit, archive, and restore departments.
Requirements
- Your team must use Gem ATS. For more information, see Getting started: Gem ATS overview and configuration.
- You must be an Admin in Gem to manage department settings. For more information, see Gem access types and permissions.
Add a department
To add a new department:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Jobs tab.
- Select the Departments header.
- Select the + Add department button.
- Enter a name in the Department name field.
- Optionally select a Parent department from the dropdown. These allow you to group together related departments under one umbrella, such as grouping Product Marketing under Marketing.
- Select the Save button.
The page updates with your new department displayed. Your team can now select this department when creating jobs.
Edit an existing department
To edit an existing department:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Jobs tab.
- Select the Departments header.
- Select the Actions menu (three dots) next to the name of the department you want to edit, then select the Edit button.

- In the Edit department pop-up, select the fields displayed to add or update them.
- When you’re done editing the department, select the Save button.
The page updates with your updated department.
Archive an existing department
Archiving an existing department removes it from the list of departments in your Admin settings and updates the status to Archived. Archived departments can’t be selected when adding a job to your Job board. You can unarchive an archived department at any time.
To archive an existing department:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Jobs tab.
- Select the Departments header.
- Select the Actions menu (three dots) next to the name of the department you want to archive, then select the Archive button.

- In the Archive department pop-up, select the Archive button.
The page updates with the archived department removed.
To review the list of archived departments, return to this page and select the Show archived departments button.

Restore an archived department
To restore an archived department:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Jobs tab.
- Select the Departments header.
- Select the Show archived departments button.
- Select the Actions menu (three dots) next to the name of the department you want to restore, then select the Unarchive button.

- In the Unarchive department pop-up, select the Unarchive button.
The page updates with the department status updated to active. Your team can now select this department when creating jobs.
To review the list of active departments, return to this page and select the Hide archived departments button.
