Overview
With Gem, you can send email sequences on behalf of a teammate using Send On Behalf Of (SOBO). This helps teams coordinate outreach while keeping messages sent from the teammate’s inbox. In some cases, sending on behalf of a Hiring Manager can improve response rates.
Some important points on how SOBO works in practice:
- You can set up the message templates and schedule, but the emails are sent directly from your teammate’s inbox.
- Candidate replies will go directly to your teammate’s inbox, where they can continue the conversation.
- You can monitor the sequence status and set up notifications for when a candidate replies.
- You can track the performance of your Sequences on your Outreach Stats page. To learn more see Outreach stats overview.
Note: SOBO only works with email sequences. It’s not supported with InMail or Text Message sequences.
Use a Gmail alias to pose as your teammate
You can set up a Gmail alias or a separate email account to pose as your teammate. This works when you need to manage the conversation after a candidate replies.
You can also send emails on behalf of a Google Group email address by adding the Google Group email address to your Gmail account as an alias.

Requirements
- You and the team member you’re adding to SOBO must both have accounts in Gem.
If these new users are only being used for SOBO purposes, they won’t count toward your seat utilization. Contact your Gem Account Executive or Customer Success Manager if you have additional questions about seat utilization.
Gmail permissions
To send emails from your inbox, Gem needs to integrate with your email account. When doing so, we’ll request the following permissions:
- Send. This is required for our Sequences overview feature in order to send emails as you from your inbox.
- Read. This is required for our Sequences overview feature in order to detect when a candidate reply was received, which allows us to automatically stop further automated follow-ups from being sent.
- Delete. This is required for our Open tracking feature, which tells you when a candidate has opened one of your messages. Delete access is necessary to ensure that your own message opens as the sender are not counted.
Request SOBO access from a teammate
Complete these steps if you want to send sequences from a teammate’s inbox.
- Go to your Account Settings.
- Scroll down to the Sender Settings section.
- Select the + Add Account button.
- Enter your teammate’s email address.
- A request for approval will be sent to your teammate via email.
- After your teammate has approved the request, the status of their email address updates to Authorized. You’ll be able to select the email address when creating and editing your sequences.
Approve a SOBO request (as the sender)
Complete these steps after your teammate has requested SOBO access to your email account.
Once the request has been sent, you have two ways to approve it.
- Go to your Profile Settings page, scroll to the Sender Settings section, and select the Authorize button next to their email address.
- Select the Review request button that was sent to you via email.
Revoke SOBO access
You can revoke SOBO access at any time.
- Go to your Account Settings.
- Scroll down to the Sender Settings section.
- Select the Revoke Access button.
Troubleshooting
SOBO authorization request not sent
If your teammate doesn’t receive a request to authorize SOBO permissions within a few minutes, there may be an issue with Gem’s connection to your email accounts. To resolve this, log out and back into both of your accounts to reconnect Gem, then try again.
Limitations
You can only send messages from email accounts on your own domain. If you work for a staffing agency, or your team owns multiple domains, please contact your Gem Account Executive or Customer Success Manager for guidance.
