Gem ATS: Internal job boards

Overview

You may sometimes want to post open jobs to an internal job board, rather than to external job boards. This might be so that only employees of your company can apply to them, perhaps as a way of promoting internal mobility, or so that employees have the chance to be considered before the general public. This article covers how to create and use internal job boards.

Requirements

  • Your team must use Gem ATS.

Enable the internal job board

The internal job board feature needs to be enabled by a team admin. To do this:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Gem ATS header.
  3. Select the Job boards & posts tab.
  4. Scroll down to the Internal job board section, then select the Internal job board header and toggle the Enable internal job board option to ON.

Enabling this option allows you to configure the settings in the Internal job board settings panel, and to create job posts to be published to the internal job board.

  1. Select the Internal job board settings panel and toggle the Publish internal job board option to ON - this makes the internal job board visible to users.

  1. Populate the Page title and Intro text to brand your job board as well.
  2. Select the Save & close button to confirm any changes you’ve made.

Your internal job board is now live, and you can access it via the link provided in the Internal job board URL field or by selecting View job board.

Configure the internal job board

With your job board enabled, there are some additional settings that you can configure.

  1. Select the Internal job post settings panel.

  1. Choose whether you want to display the publication date on internal job posts (just below the job title), using the Show job posting publish date option.
  2. Choose whether you want to display standardized intro and outro content on internal job posts. If you toggle either of these options to ON, you can then enter intro/outro content into the text field and format accordingly.

Intro content displays on job posts between the job title and the job description. Outro content displays between the job description and the job form.

  1. With either the intro or outro content enabled, you can also choose to Allow hiding - selecting this option means that users can choose whether or not to display this content at a job level, when creating a new job. If this option is disabled, the content will always be displayed.
  2. Select the Save & close button to confirm any changes you’ve made.

Post to the internal job board

Follow these steps to post a job to your internal job board.

  1. In the Primary Job Post step of creating a new job, select the Job boards drop-down and choose Internal job board.

  1. If you want to post your job on both internal and external boards, also select your external job board here.
  2. Complete the rest of the job post as you would normally. See Gem ATS: Create a job for details of all available job post settings.

Apply to an internal job

Once your internal job board is enabled and configured, Gem users can start using it to apply for jobs. The following considerations should be noted when applying for jobs on the internal job board:

  • In order to apply to a job via the internal job board, a user must have a valid Gem account with a minimum of Restricted permissions.
  • Users need to be logged into Gem to access the internal job board - if not, when they follow the link to the internal job board they will be prompted to log in as normal with their Gem credentials.
  • Gem will automatically populate some of the application fields with details from the user’s Gem account (First name, Last name, and Email). The remaining fields will need to be completed by the user.

Identify internal applicants

To help users identify internal applicants in Gem ATS, we include an Internal candidate badge for this type of candidate in the Talent pipeline, on the application details pop-up, and on the candidate profile page.
