Gem ATS: Manage global notifications settings

Overview

Global notifications help your team stay on track during the interview process. For example, Gem can automatically send interviewers reminders before an interview, and follow up after an interview to prompt scorecard submission.

Admins can configure global notifications for recruiting workflow milestones, such as when an assessment needs review. Admins can also choose whether notifications are sent by email, Slack, or both.

This article covers global notification settings only, not personal notifications or job-specific notifications.

Requirements

  • You must be an Admin in Gem to manage global notification settings. For more information, see Gem access types and permissions.
  • You must be an Admin in Gem to manage global location settings. For more information, see Gem access types and permissions.

Access global notification settings

Only Admins can access global notifications settings.

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Notifications tab.

Your global notification settings are displayed. Remember that editing these affects your entire Gem account.

Manage interview and application notifications

Admins can enable or disable the following types of notifications:

  • Send reminder email to interviewer before interview.
  • Send reminder email to interviewer for scorecard submission after interview.
  • Send emails to the hiring team when an agency recruiter submits a new application.

To review or update these notification settings:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Notifications tab.
  3. Select the Notifications option beneath the Interview & application header.
  4. Select or clear the checkbox for each notification type you want to turn on or off.
  5. Select the Save & close button.

After you save, the updated notification settings apply to your Gem account.

Manage Talent Pipeline SLA notifications

Admins can enable or disable the following types of email or Slack notifications based on the status of select milestones. For each notification type, you can choose:

  • Whether to send notifications by Email.
  • Whether to send notifications by Slack.
  • Which milestones trigger the notification.

To update these settings:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Notifications tab.
  3. Select the Notifications option beneath the Talent Pipeline SLAs header.
  4. In the Emails column, turn the toggle on or off.
  5. In the Slack column, turn the toggle on or off.
  6. Under For select milestones, select the milestone setting you want to apply.
  7. Select Save & close.

After you save, the updated notification settings apply to your Gem account.

Reset Talent Pipeline SLA notification settings to default

Admins can reset Talent Pipeline SLA notification settings back to the default at any time. This updates your Talent Pipeline SLA notifications to the following:

  • The application review milestone is de-selected for all statuses.
  • Assessment needs sending
    • Email: OFF
    • Slack: OFF
    • All milestones are de-selected
  • Assessment needs review
    • Email: ON
    • Slack: OFF
    • All milestones except application review are selected
  • Needs scheduling
    • Email: OFF
    • Slack: OFF
    • All milestones are de-selected
  • Needs feedback
    • Email: OFF
    • Slack: OFF
    • All milestones are de-selected
  • Needs decision
    • Email: ON
    • Slack: OFF
    • All milestones except application review are selected
  • Needs offer creation
    • Email: ON
    • Slack: OFF
    • All milestones except application review are selected
  • Needs offer approval
    • Email: ON
    • Slack: OFF
    • All milestones except application review are selected
  • Offer needs to be sent
    • Email: ON
    • Slack: OFF
    • All milestones except application review are selected
  • Offer sent
    • Email: ON
    • Slack: OFF
    • All milestones except application review are selected

Steps to reset your Talent Pipeline SLA notification settings:

  1. Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
  2. Select the Notifications tab.
  3. Select the Notifications option beneath the Talent Pipeline SLAs header.
  4. Select the Reset to default option beneath the list of notification settings.

After you reset, Gem restores the default notification options listed above.
