(Internal) Offline Order Forms

An Order Form is a legally binding contract that establishes the commercial terms of a customer’s Gem purchase. Order Forms specify subscription quantities, duration and payment terms, and they also reference the applicable separate Gem legal terms and conditions that will govern the customer’s purchase.

Most Order Forms should be completed and signed via DealHub, but we will occasionally need to take an Order Form offline. The process for this should be as follows:

  1. Sales Rep builds order form in DealHub and selects document type as “Word” or “PDF”.
  2. Once this is done and they submit for approval, it triggers an approval rule in DealHub. This means they are unable to get a finalized version until the deal has bene approved.
  3. Once it is approved, the sales rep must submit the final version into the #sales-succes-legal Slack channel for visibility to other stakeholders. Dold will provide feedback if the order form needs to be updated and sales rep will send final approved version for signature.

All offline Order Forms will be reviewed again after the opportunity is marked Closed Won to ensure that they match the approved DealHub and the opportunity itself.
