(Internal) Ashby integration

Enabling for Customers

1. Search for the customer in the Support dash
2. Under Overview , scroll down to ATS Settings & select Ashby :

1. For the Ashby integration, customers need to gather their Ashby API Key first:
1. Every Gem user will authenticate based on their company’s Ashby API Key (should be the same token for every user). They can get this token from their IT/Ashby admin:
1. Admin ->Ashby API ->API keys , and then click New

Once the above 3 steps are done, customers are now ready to turn on the integration.

1. Open up your Gem sidebar
2. Click Connect button, which will then display an authentication modal
3. Enter the Ashby API Key in ‘Enter your Ashby API key’ modal and submit
4. Now you’re all set!

Dedupe & Upload Functionality

Duplicate check againstAshby

• We surface potential duplicates based on name & email
• As with our other ATS integrations, we first check whether the candidate exists in Ashby and show you in the minimized Gem extension.
• When duplicates are surfaced, user can ‘Merge with selected profile’ or ‘Upload as new candidate’

Upload as new candidate

Ashby requires the following fields for upload:

• First Name, Last Name
• Email
• (Job - Optional)

Additional information

• The uploaded candidate will show up as ‘New Lead’ status in Ashby
• Watch-outs
• Since we authenticate based on the Ashby team-wide Access Token, there’s a possibility that some permissions are not respected (for ex. you may be able to upload to jobs you may not have access to in the Jobs drop-down). We do by default hide any jobs listed as “confidential”
