By default, the visibility setting for all Jobs in Gem ATS is Standard. This makes the Job visible to all users. If you have a sensitive Job that only the hiring team and Admins should have the ability to view and access, you can set that Job's visibility to Confidential.
Requirements
- Your team must use Gem ATS.
- Only Admins and standard users can create Jobs, including Confidential Jobs.
Create a Confidential Job
As part of the Job creation flow, you can set the visibility status as Confidential using the Visibility dropdown on the Job details page.
For more information about creating Jobs, see Create a Job.
Make an existing Job Confidential
You can only update an existing Job's visibility status to Confidential as long as it doesn’t have any published job posts.
To update the visibility settings for an existing Job:
- Select the **Jobs** option in the main sidebar under the ATS header.
- Search for or scroll down to the title of the job you want to update.
- Select the job title to open the job details page.
- Select the Job settings tab under the job title at the top.
- Select the Job details header to open that section.
- Select the Visibility dropdown, then select the Confidential option.
- Select the Save & close button.
What happens when a Job is set to Confidential
After a Job is set as Confidential, it's only visible to admins and members of the hiring team, who will see it listed as Confidential in the Jobs list.
For all other Gem team members, the following applies.
- The Job won't appear in the Jobs list.
- If a user selects a direct link to the Job, it results in an error or a redirect.
- The Job won't appear in any Jobs dropdown as an option.
- In Talent Compass reports, Confidential Jobs applicants are counted in aggregate reports. The Job title is replaced by (Job hidden due to ATS permissions) or (Job not found), depending on the report. Job applications won't appear in the detailed view.
