Overview
A conditional offer section is a block of text that only appears in an offer letter when certain criteria are met.
For example, if your team provides relocation assistance for candidates who don’t live near one of your offices, you can create a conditional section that’s automatically included when a candidate’s location matches that rule.
When paired with default offer tokens and custom offer tokens, conditional sections make it easy to generate dynamic, tailored offer letters for every role, department, and location in your organization.
Requirements
- Your team uses Gem ATS.
Create a conditional offer section
Only Admins can create and manage conditional offer sections.
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Offers tab.
- Select the Conditional offer sections header to open the conditional offer section settings.
- Select the + New offer section button.
- On the Conditional offer section details page, select each field in the Offer section settings section to add or update details for this opening. Required fields are indicated by an asterisk * next to the field name.
Field | Description |
*Name | The name of the conditional offer section. Gem will automatically create a new token name based on your section name, though you can customize the token name. |
Description | The description of the conditional offer section. |
*Token name | The name of the token as it appears in offer letter templates. This can only include lowercase letters (a-z), numbers (0-9), and underscores (_). |
- In the Filters section, you can optionally select filters in the dropdowns to make sure this conditional offer section only appears in Job offers for specific locations and departments. This means any user generating a new offer template that doesn't match the filter criteria won't see the conditional offer section. For example, you may offer additional compensation options for your Sales roles, which won't appear in an offer template for roles within your Engineering department. This list of options varies based on your Jobs Admin settings.
- In the Customize by field section, select which offer template field should trigger the conditional offer text. This allows you to provide different compensation language based on level, department, location, and other fields. For example, you may want to use different language for offers based in certain states with different employment laws. The list of custom fields varies based on your Offer custom fields settings.
- In the Conditional text content section, select the specific Job level, Job department, Offer location, or other custom field that this conditional offer text should be included in. The dropdown displayed here is set by your selection in the Customize by field. The list of options varies based on your Jobs Admin settings.
- Add the Conditional text content that corresponds to the job level selected above. This conditional text content can include standard and custom offer tokens.
- Repeat steps 9-10 to add additional text content for each Job level, Job department, Offer location, or other custom field, until you've added all of the conditional offer sections you need.
- Select the Save and activate button at the top. The new conditional offer section appears in the list of conditional offer sections on this page, and your team can now use this section in their offer templates. When this section is selected, the offer section content is automatically inserted when generating your offer.
View all conditional offer sections
Only Admins can view the list of conditional offer sections. To do so:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Offers tab.
- Select the Conditional offer sections header to open the conditional offer section settings.
- The list of conditional offer sections displays. Search for or scroll down to select a specific conditional offer section to review or update the details.
Update a conditional offer section
Only Admins can update conditional offer sections. To do so:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Offers tab.
- Select the Conditional offer sections header to open the conditional offer section settings.
- The list of conditional offer sections displays. Search for or scroll down to select the conditional offer section you want to update.
- Select the conditional offer section as it appears in the list. The Conditional offer section details displays.
- Select any of the fields listed in this section to add or update the field details.
- Select the Save and active button at the top. These changes will take affect instantly.
Archive a conditional offer section
Archiving a conditional offer section makes it unavailable for use in new offers. It doesn't retroactively remove the conditional offer section from offers that have already been sent.
Only Admins can update conditional offer sections. To do so:
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Gem ATS header.
- Select the Offers tab.
- Select the Conditional offer sections header to open the conditional offer section settings.
- The list of conditional offer sections displays. Search for or scroll down to select the conditional offer section you want to archive.
- Select the Actions option to the right of the Created date field of the conditional offer sectionas it appears in the list, then select the Archive option from the dropdown.
- On the Archive offer section pop-up, select the Archive button.
After a conditional offer section has been archived, it won't be added to new offer templates.
