Overview
In addition to the integrations with Gem ATS: CoderPad integration and Gem ATS: CodeSignal Integration for technical assessments, you can also add a take home assignment of your own to any stage of your job interview plan. Candidates will be able to upload their completed assessments via a unique submission link, triggering your team to review their submission and complete a scorecard for the stage.
Requirements
This functionality is only available to users of Gem ATS.
Setup
Navigate to the interview plan for any of your jobs. Select the stage you would like to add the assessment to and click the ‘add activity’ dropdown, and select ‘take-home assignment’.
You will now be able to attach your assessment file to the stage, designate a reviewer for the assessment, and select a scorecard template to be used when reviewing the assessment. If you do not designate a reviewer for the assessment specifically, the interviewer assigned to that stage will be responsible for reviewing the assessment.
Please note: the file size limit for the take-home assignment is 10MB.
Now, when a candidate reaches this stage of your interview plan they will have a ‘send assignment’ button available. Clicking the button will enable you to
- modify the assessment being sent
- schedule the message to either send immediately or at a specific time in the future
- select sender of the email (including a no-reply email address at your domain)
- the email template to be used for the message to the candidate
- assign a different reviewer than the interview plan specified
- select a different scorecard template than was set in the interview plan
Once you have finalized your selections in this modal, you can click the ‘send’ button. The email to the candidate containing the unique link for them to submit their assessment will be sent, either immediately or at the scheduled time based on your selections.
Note: assessments can be sent to any candidate at any stage by clicking the three-dot more actions link at any time and selecting ‘send take-home assignment’. This will open the same options modal as above, and the experience for both the candidate and the reviewer will be the same.
Candidate experience
Your candidate will receive an email with the assessment file you attached to the job stage as well as the unique links for them to upload their completed assessment. After they have completed their assessment, they can click the link in the email and upload their assessment. They will receive a confirmation message on the submission page as well as an email confirmation to let them know their submission was successful.
Please note: the file size limit for the completed take-home assignment is 50MB.
Reviewing the assessment
Once the candidate has submitted their assessment, the assigned reviewer will receive an email notification that they have an assessment pending their review. Clicking on the link in that email will open up the scorecard for the candidate with their submitted assessment attached. From here, they can review the assessment and complete the scorecard.
The assessment, along with the date and time that the assessment was submitted, remains attached to that scorecard in the candidate’s application for future reference.
Recruiters can also submit an assessment on behalf of a candidate by clicking the three-dot more actions link for that candidate stage. When the assessment is added by someone other than the candidate, Gem will record who submitted that assessment along with the time and date it was submitted.
