By default, the visibility setting for all openings in Gem ATS is Standard. This makes the opening visible to all users. If you have a sensitive opening that only the hiring team and admins should have the ability to view and access, you can set that opening's visibility to Confidential.
Requirements
- Your team must use Gem ATS.
- Admin must enable openings in ATS Settings for the team to use.
- Only Admins and standard users can create openings, including Confidential openings.
Create a Confidential opening
As part of the opening creation flow, you can set the visibility status as Confidential using the Visibility dropdown on the opening details page.

Make an existing opening Confidential
You can make any existing opening confidential by editing the opening details.
- Select the Openings option in the main sidebar under the ATS header.
- On the Openings page, select the opening from the list of openings you want to edit. You can also search the list by entering the opening name in the search bar.
- Select the opening name to open the opening details page.
- Select the Visibility dropdown, then select the Confidential option.
- Scroll down and select the Save changes button at the bottom of the page.
What happens when an opening is set to Confidential
After an opening is set as Confidential, it's only visible to Admins and members of the hiring team, who will see it listed as Confidential in the openings list.
For all other Gem team members, the following applies.
- The opening won't appear in the list of openings on the Openings page.
- If a user selects a direct link to the opening, it results in an error or a redirect.
- The opening won't appear in any opening dropdown as an option.
- If a confidential opening is attached to an open job, the opening won't be visible to users who can view the job details.
