Along with prospect custom fields, Gem also supports application custom fields, which allow you to record specific information against candidates’ applications that you can then use in reporting. Application custom fields appear at the top of the sidebar when viewing an application, and you can incorporate them into dashboard widgets. This article covers how to use, create and edit application custom fields.
Note that application custom fields should not be confused with custom application questions, which allow you to add custom questions to application forms for candidates to fill out.
Requirements
- Admin access is required for setup and viewing private fields.
Why use application custom fields
Application custom fields are ideal for when you want to capture and report on data that could change between applications (as opposed to using prospect custom fields, which are specific to candidates regardless of applications). You can also report on application custom fields in dashboard widgets, either as filters or as columns in tables.
Some example types of data that you might use application custom fields to record include:
- Willing to relocate?
- Salary expectations
- Address
Using custom application fields
Any application custom fields you create will display on the right-hand side of the candidate record on the Application tab, under the Application custom fields section.
To add information into an application custom field, select the edit (pencil) icon next to Application in the right-hand sidebar. When you’re done, select Save.
All application custom fields are optional, and by default they are visible to all users. You can, however, set application custom fields to be private and only visible to admins.
Create an application custom field
Follow these steps to create a new application custom field:
- Select your name from the left-hand corner, and then Admin settings.
- Select Gem ATS.
- From the default Applications tab, select the Application custom fields section.
- Select the + New custom fields button.
- On the Create new application field pop-up, give your application custom field a name and a description.
- Select a type from the Field type drop-down. Possible values are:
- Short text
- Long text
- Yes/No
- Single-select
- Multi-select
- Number
- Number range
- Date
- Currency
- Currency range
- User (choose a team member from a drop-down list)
- Select the Make private option if you want this field to only be visible to admins.
- Select the Create field button to save the application custom field.
That field will now display in the Application custom fields section of the candidate record.
Edit an application custom field
Follow these steps to edit an existing application custom field:
- Select your name from the left-hand corner, and then Admin settings.
- Select Gem ATS.
- From the Applications tab, select the Application custom fields section.
- Either select the application custom field you want to edit.
- Make any necessary adjustments to the field, then select the Update field button.
To archive a custom application field and remove it from the list, select the three dots next to a field and then choose Archive from the list of options. You can then select the View archived button to see a complete list of application custom fields, with the status showing either Active or Archived.
