Gem ATS provides a streamlined way to track and manage candidates throughout the hiring process. With flexible views, customizable filters, and easy-to-use tools, you can efficiently move candidates through your pipeline and stay on top of interview progress.
Navigating the Talent pipeline
From the Jobs tab, selecting a specific job will take you to the Talent pipeline view, where you can see all applicants and their current stages.
In this view, you can:
- Filter candidates by status or specific criteria to focus on the most relevant applicants. For example, use the Filter by Status dropdown to display candidates with missed targets so you can take action promptly, or identify candidates whose offers are expiring soon to ensure timely follow-up.
- Monitor SLAs to ensure timely progress. Service Level Agreements (SLAs) monitor how long candidates stay in each stage, with color-coded statuses indicating when action may be needed. By setting SLAs, teams can establish target timelines, quickly spot bottlenecks, and take proactive steps to keep hiring on track.
- View key hiring metrics, such as:
- Time open: The number of days the role has been active.
- Candidates in progress: The number of applicants currently moving through the hiring process.
- Total candidate count: The total number of applicants, including those who have been disqualified or dropped out.
- Stage duration: How many days each candidate has spent in their current stage.
- View scorecards for individual candidates. Select Stage Scorecards on a candidate’s card to view a pop-up displaying both submitted and pending scorecards.
Customizing your view
Gem ATS offers three flexible ways to view candidates in your Talent pipeline, allowing you to customize how you track progress and manage workflows:
- Card view displays candidate details in individual cards. Customize the information shown — such as status, current job title, last activity, source, scorecards, and notes — to highlight key insights while adjusting the card size as needed.
- Compact view is a streamlined version of Card view that focuses on essential details: candidate name, SLA status, and scorecard status — ideal for quickly assessing pipeline status.
- Table view is a spreadsheet-like format that resembles Excel, making it easy to scan large sets of candidates at once. This structured, data-focused view is great for teams who prefer a more analytical approach.
You can seamlessly toggle between these views to match your workflow and preferences.
Moving candidates through the pipeline
Candidates can progress through the hiring process in three ways:
- Drag and drop a candidate’s card into the next stage in Card view.
- Click into a candidate’s profile to move them forward (using the → Move to dropdown) or reject them manually (the Reject with message dropdown).
- From the Applications section of either the Chrome extension or the sidebar in a candidate’s profile, select the arrow next to the current stage, and choose a new stage from the dropdown.
From a candidate’s profile, you can also:
- Schedule follow-up reminders: Go to the Profile tab, locate the Key activity module on the left, and select Add in the reminders section. A calendar will appear where you can choose a date and leave a note.
- Access resumes instantly from the Resumes tab.
- Configure interview progress in the Application tab. Simply select Schedule and follow the prompts by adding date, time, and interviewers.
