This is a brief high-level overview of Gem Jobs. (If you are reading this article, it is assumed that you’ve already worked with either our Sales or Customer Success teams to enable it on your team’s Gem account.) Please note, this feature is in beta right now so feature details are subject to change.
To access this feature, click on the “Jobs” tab in the left sidebar or by going to gem.com/jobs.
Defining Jobs
Each job in Gem can have its own customized set of stages. Each stage should map to a higher level stage group.
The purpose of stage groups is to standardize reporting across all the jobs — because each job could have its own unique set of stages. These stage groups show up as columns in the main gem.com/jobs table view.
For example, you may have Job A & Job B with these lower-level stages:
Job A: Phone Screen → Onsite 1 → Onsite 2 → Offer
Job B: Phone Screen 1 — Phone Screen 2 — Onsite → Offer
These could roll-up to the following stage groups:
Phone Screen (Phone Screen, Phone Screen 1, Phone Screen 2) → Onsite (Onsite, Onsite 1, Onsite 2) — Offer (Offer)
Candidate Management
Gem Extension/Sidebar
You can easily add a candidate to a job and move them through stages using the Jobs section in the person’s sidebar when viewing their profile in Gem:
Once you add a candidate to a job you’ll be able to see all the associated status updates in the candidate’s activity feed:
Job Candidates Table
You can also manage all the candidates for a job in the table view:
Here you can move candidates through stages and set stage dates:
You can also see who added the candidate, as well as preview and add notes:
You can sort candidates by status , filter them by active/closed and stage:
Pipeline Reports
Three different reports are available in the main Jobs table view: Active Candidates, Funnel View, and Days to Stage.
Active Candidates
Active candidates gives you a snapshot view of the number of candidates sitting in each stage of the pipeline. Each of the numbers is a clickable link that gives you the table view with those candidates:
Funnel View
Funnel View gives you conversion rates between stages in the pipeline:
Days to Stage
Days to Stage is the average number of days it takes for a candidate to move between stages in the pipeline:
Filter and Export
You can filter jobs by their name in the search bar and click the Download CSV button to export this data into a csv report at any time. We’re working on adding tags to jobs and making the filtering more robust in the near future.
