Overview
Integrating Certn with Gem ATS allows you to add Certn background checks as an activity in an interview stage in Gem. Once enabled, users can attach Certn background check packages to Gem ATS interviews.
Requirements
- Your team must use Gem ATS.
- Admin access in your team’s Certn account.
Enable the integration
Only Admins can enable the Gem ATS integration with Certn.
- In Certn, go to your Team Settings.
- Select the API Keys tab at the bottom of the main menu.
- Select the Add API Key button.
- Copy the API key that appears to save it to use later in this process.
- From this same page, select the General tab in the main menu.
- Paste the following into the Webhook URL field:
https://webhooks.gem.com/certn/certnWebhookHandler - Select the Generate New button below the Webhook Secret field. This action copies the secret key that appears to save it for later.
- Log into Gem.
- Select your account at the bottom of the main sidebar, then select the Admin settings option in the dropdown.
- Select the Integrations header.
- Scroll down and select the Certn header to open the integration details.
- Paste the API key from step 4 in the API key field.
- Paste the webhook secret key from step 7 into the Webhook secret key field.
- Select the Save & close button in this section. The section closes with the updated fields saved.
Add a Certn background check to an interview stage
After the Certn integration has been enabled, when adding or updating the interview plan for a job, you’ll have the option to add a Certn background check as an activity.
Certn background checks can be added for candidates that are anywhere in the interview process. This is true even if the candidate existed in Gem before Certn was enabled and added to the interview plan.
To add a Certn background check to an interview stage:
- In the main sidebar, scroll down to the ATS header and select the Jobs option.
- Select the job name you want to view the approval status of from the list of jobs. You can also search the list by entering the job name in the search bar.
- From the job details page, select the Interview plan tab.
- If there isn’t already a background check stage, select Add new stage and add a stage for the background check.
- Select the Add activity dropdown, then select Certn background check where it appears in the list of options.
- Select a Certn package from the list of options.
The page updates with the Send Certn background check activity added.
The options listed in the Certn package dropdown vary based on your Certn account settings. Packages can’t be added or changed from within Gem. For information on how to add or update Certn packages, see Certn’s documentation Add a package of checks to an integration.

Send a Certn background check to a candidate
After a Certn background check has been added to an interview stage, you’ll have the option to send the background check to any active candidate at any interview stage. They don’t have to be at the background check stage to be eligible to be sent a background check request.
To send a Certn background check to a candidate:
- Select an active candidate in Gem. You can do so by searching for the candidate on the Candidates page or from the Talent pipeline tab of the job.
- On the candidate details page, select the Application tab.
- Scroll down to the background check interview stage.
- Select the Send background check button.
- In the Send background check pop-up, the package associated with this action is automatically selected in the Package dropdown. To optionally choose a different package, select the dropdown, then select the package name.
- Select the Send background check button.
After you initiate this process, Certn automatically emails the candidate to prompt them to complete the background check.
View Certn background check status
After a background check has been sent to a candidate, the interview stage section of that candidate’s application displays the background check status and a link to the results.
Select the Results URL link to review the detailed results of the background check.
